How to Replace a Lost Matric Certificate in South Africa
If you have lost, damaged, or never received your National Senior Certificate (NSC) or Senior Certificate (the old matric), you can apply for a replacement. The process involves your Provincial Education Department or the South African Qualifications Authority (SAQA). The replacement certificate costs R50 and is an official duplicate that carries the same legal status as the original.
Who Issues Replacement Matric Certificates?
The body responsible for your replacement certificate depends on when you wrote matric:
NSC (National Senior Certificate) — written from 2008 onwards: Apply through your Provincial Education Department. Umalusi issues the certificate and the PED distributes it.
Senior Certificate — written before 2008 (old matric): Apply through SAQA (South African Qualifications Authority) at www.saqa.org.za, or through your PED, which may refer you to SAQA.
How to Apply for a Replacement Certificate
- Visit your nearest Provincial Education Department office or district office.
- Request a certificate replacement application form.
- Complete the form with your full name, ID number, year of examination, and the province where you wrote.
- Pay the R50 replacement fee at the district office (cash or as directed).
- Attach a certified copy of your South African ID document.
- Attach an affidavit (sworn statement) explaining why you need a replacement (e.g., lost, stolen, damaged).
- Submit the form and await processing. Processing times vary but typically take 6 to 12 weeks.
- Collect your replacement certificate at the office where you applied, or it may be posted to you.
Documents Needed
- Completed certificate replacement application form
- Certified copy of your South African ID (green barcoded ID book or smart card)
- Affidavit explaining the loss or damage (from a police station or commissioner of oaths)
- R50 payment receipt
- If available: certified copy of your original results or statement of results
Replacement via SAQA
SAQA can verify and issue replacement certificates for qualifications on the National Qualifications Framework (NQF), including the Senior Certificate and NSC.
To apply through SAQA: visit www.saqa.org.za and navigate to the Verification and Certification section. SAQA charges a fee for verification services. Contact SAQA at 012 431 5000 for details on the current process and fees for replacement certificates.
Keep the receipt you are given when you submit your application. You will need it to follow up on progress.
How Long Does It Take?
Processing times vary by province and depend on how far back the records go. For certificates from the 1990s or earlier, records may need to be retrieved from archives, which can take longer.
Current NSC certificates (2008 onwards) are held electronically and are usually faster to replace. Allow 6 to 12 weeks. If you have not received a response after 12 weeks, follow up with the district office.
What the Replacement Certificate Says
The replacement certificate will be clearly marked as a duplicate and will include the same information as the original: your name, ID number, year of examination, subjects, and results. It carries the same legal status as the original for employment, university, and immigration purposes.
